Adding Suppliers
Suppliers can be found by navigating to ‘My Planning’ then through to ‘Suppliers’.
Suggested suppliers
Suggested suppliers are added by your venue. These are a list of suppliers that they have previously worked with and the venue are happy to share details of with you. Hostology does not automatically book suppliers for you, you will need to confirm and discuss with them.
How to select/unselect recommended suppliers
To select a recommended supplier go to the ‘Recommended’ tab where you will find all the recommended suppliers. To select a recommended supplier click on the supplier you want to select, then click on ‘Add to event’. Once you click ‘Add to event’ the supplier will be added to the ‘My suppliers’ page.
To unselect a recommended supplier go to the ‘My suppliers’ page, then click on the supplier that you want to unselect. Then click on ‘Remove from event’. The recommended supplier will then go back to the recommended tab.
How to add a new supplier to your event
To add a new supplier to your event click on ‘+ Add supplier’. Fill in the required information and click ‘Add’.
Once you add a supplier you are only able to edit their first name, last name, and notes. To edit a supplier click on the supplier you want to edit, then click the edit button at the top of the screen, edit the details you want to edit and click ‘Update’.
What happens when a supplier is invited
When a supplier is invited they receive an email to sign up to Hostology and notify them that they have been added to your event. If they have previously signed up to Hostology they will be sent an email to say they have been added to your event. Suppliers will be able to see the event and venue details. The supplier will be able to view notes and documents uploaded to their event profile as well as add them.
How supplier documents work
When you add a supplier you are able to upload documents to them. The documents you upload will be set to your specific event only, with the venue and supplier being able to view and download them. A venue can also upload documents to suppliers that are linked with your event, which you will be able to view and download.
How to upload a supplier document
To upload a supplier document click into the supplier and click upload document.
What your venue can see
Your venue will be able to see all of the suppliers you add to your event as well as any recommended suppliers that you select. The venue will also be able to see any documents you upload to a supplier.
How to download the event supplier page
To download the event suppliers page click the ‘Download’ button on the top right of the suppliers page. The supplier's download will only show suppliers that you have selected or added to your event.
